The Role
As an Administrative Assistant, you will provide high-level support to 5–6 Managing Directors, while also assisting wider team members with ad-hoc administrative needs. You’ll be part of a collaborative assistant network across EMEA, with strong onboarding, training, and ongoing support.
This is a dynamic, demanding role that requires someone detail-oriented, resourceful, and confident working with senior stakeholders.
Key Responsibilities
Complex diary and calendar management for senior executives
Scheduling meetings and conference calls across multiple time zones
Managing high-volume inboxes and ensuring timely communication
Coordinating meeting logistics (rooms, virtual calls, multi-location setups)
Organizing international travel (flights, accommodation, visas, transport)
Handling expenses, invoices, and administrative processes
Supporting the team with day-to-day operational needs
Providing backup support for colleagues when required
Maintaining accurate administrative records and reporting
What We’re Looking For
Minimum 2+ years’ experience in an administrative/assistant role
Fluency in English and Polish
Strong Microsoft 365 / Outlook skills
Excellent organizational and multitasking abilities
High attention to detail and accuracy
Confident communicator across all levels (in person, phone, virtual)
Ability to manage competing priorities under pressure
Proactive, resourceful, and solutions-oriented mindset
Professional, discreet, and trustworthy
Positive attitude with a strong team spirit
Experience in finance or professional services is a plus.
