Administrative Assistant
Job Overview:
We are looking for a full-time Administrative Assistant to support a team of dynamic investment bankers. This role is an excellent opportunity to work within a global markets division that is both high-pressure and client-focused. The ideal candidate will be energetic, proactive, and highly organized, with a strong work ethic ready to adapt in an exceptionally fast-paced environment.
Key Responsibilities:
- Manage complex calendars for senior bankers, ensuring efficient scheduling of meetings and appointments.
- Coordinate travel arrangements including booking, creating detailed itineraries, and preparing trip agendas.
- Liaise with both internal and external stakeholders to organize client meetings, ensuring all aspects are seamlessly planned.
- Handle the processing of expenses and invoices promptly.
- Organize internal and client meetings and events, managing logistics such as venue booking, catering, and guest registration.
- Adhere to compliance regulations and secure necessary approvals.
- General administrative duties including photocopying, printing, tracking attendance, answering phones, and message relaying.
- Coordinate office-wide administrative processes efficiently.
- Act as a pivotal member of the team, maintaining a high level of awareness of current priorities and support needs.
- Facilitate knowledge sharing within the team and ensure important information is disseminated appropriately.
- Provide backup support to other assistants as needed.
Required Skills and Experience:
- Proven experience in an administrative or customer service role, ideally supporting large teams in demanding environments.
- Excellent organizational skills with the ability to multitask and prioritize effectively.
- High attention to detail with strong interpersonal skills and a team-oriented approach.
- Clear, concise communication skills; fluency in both German and English is required.
- Demonstrated initiative and the ability to follow up on tasks without prompting.
- Strong work ethic, positive attitude, and a willingness to work collaboratively across local, regional, and global teams.
- Proficiency in Microsoft Office / M365 (Outlook, Word, Excel).
- Flexibility with work hours, with a typical schedule from Monday to Friday, 8am to 5pm.
Education:
- At least 2–3 years of experience as a Team Assistant or in a similar role, with a preference for candidates who have thrived in a high-demand environment. Open to various professional backgrounds.
