HR Shared Services Specialist

We are currently looking for an HR Shared Services Specialist to join our client’s team. In this role, you will act as the first point of contact for employees and managers, providing support related to HR processes, policies, and systems.
You will play a key role in delivering high-quality HR support, resolving inquiries efficiently, and contributing to a positive employee experience in a fast-paced, international environment.
Key Responsibilities:
Serve as the first point of contact for employee and manager inquiries via phone, chat, and ticketing systems.
Provide support on HR processes, policies, tools, and services.
Resolve issues using internal systems, knowledge bases, and established procedures.
Ensure clear communication and high-quality service delivery across multiple countries.
Guide users toward self-service solutions and first-contact resolution whenever possible.
Handle challenging interactions professionally and manage concerns with empathy.
Monitor open cases and proactively communicate updates.
Maintain accurate documentation and system records.
Collaborate with internal teams to resolve complex cases.
Identify recurring issues and support continuous process improvement initiatives.
Ensure confidentiality and compliance with data protection regulations.
Prioritize workload to meet service level and performance targets.
Requirements:
Bachelor’s degree or equivalent experience (preferably in Business, Communications, or Customer Service).
Minimum 1 year of experience in HR support, contact center, customer support, or shared services environment.
Experience supporting users via phone, chat, and ticketing platforms.
Ability to work with multiple systems (CRM tools, internal databases, case management systems).
Strong attention to detail and ability to follow established procedures.
Excellent communication and problem-solving skills.
Strong customer service mindset and conflict resolution skills.
Ability to work in a fast-paced environment and manage multiple priorities.
Experience handling confidential and sensitive information responsibly.
Fluency in French and English, with native-level Polish.
