HR Service Desk Specialist with German

For our client, we are looking for an HR Service Desk Specialist with German to join an international shared services team.
In this role, you will act as the first point of contact for employees, managers, and HR partners, supporting them with HR-related questions, processes, and internal systems. You will help ensure smooth HR operations by resolving inquiries, guiding users through HR procedures, and providing high-quality service across multiple countries.
This position is ideal for someone who enjoys working with people, solving problems, and delivering excellent customer support in an international HR environment.
Your Responsibilities:
Respond to employee inquiries via phone, webchat, and ticketing systems, following established procedures and service standards.
Provide HR support to users across multiple countries, ensuring clear communication and high-quality service.
Resolve issues using internal systems, knowledge bases, and documented processes.
Guide employees on HR processes, tools, and services to support first-contact resolution and self-service whenever possible.
Maintain professionalism and empathy during challenging interactions.
Manage daily workload effectively to meet service level targets and quality standards.
Collaborate with internal teams to resolve more complex cases and requests.
Monitor ongoing cases and proactively keep users informed about progress or solutions.
Ensure accurate documentation of cases and updates in internal systems.
Identify recurring issues and support process improvements and root cause analysis.
Handle employee data with strict adherence to confidentiality and data protection regulations (GDPR).
What We’re Looking For:
Bachelor’s degree or equivalent experience (preferably in Business, HR, Communications, or Customer Service).
At least 1 year of experience in a Contact Center, Customer Support, or Shared Services environment.
Experience supporting users through phone, chat, and ticketing systems.
Ability to work with multiple internal systems and databases.
Strong attention to detail and ability to follow structured procedures.
Excellent communication, problem-solving, and customer service skills.
Ability to work in a fast-paced environment and manage multiple priorities.
Responsible handling of confidential and sensitive information.
Language Requirements: German – fluent, English – fluent, Polish – native
